'Bridges Awards' - Privacy, Data Protection and Cookies Policy

This Privacy, Data Protection and Cookies Policy sets out the way in which the National Documentation Centre (hereinafter EKT), in its capacity as implementing body, collects, uses and shares the information made available to it. If you have any queries whatsoever, contact EKT (see section '17. Contact EKT' below). The Privacy, Data Protection and Cookies Policy may be amended periodically, therefore you should regularly check its contents for any amendments (see section '16. Amendments to the Privacy, Data Protection and Cookies Policy' for further information). The Privacy, Data Protection and Cookies Policy covers the awards website: awards.knowledgebridges.gr and is accessible from any browsing device. By accessing, browsing and / or using the website / platform via computer or any other mobile device, either directly or by referral from another website of implementing organizations (see www.ekt.gr, www.mindev.gov.gr, www.knowledgebridges.gr) you acknowledge that you have read, understood and be legally bound by this Privacy, Data Protection and Cookies Policy as set forth below.

1. The awards.knowledgebridges.gr awards.knowledgebridges.gr website

The Bridges awards is a new awards programme of the 'Knowledge and Partnership Bridges' initiative and aims to strengthen networking and co-operation, the exchange and transfer of know-how and create new opportunities for synergies for Greek scientists-researchers and entrepreneurs worldwide and those residing in Greece. Members of scientific and business communities can express their interest in participating through the website: awards.knowledgebridges.gr.

By registering and consenting to the Terms of Use and to this Privacy, Data Protection and Cookies Policy, natural and legal persons may validly submit their online application. Registration as a user by a legal entity, may only be undertaken by a duly authorized natural person who must be specifically named.
During registration, users are obliged to provide true, accurate, reliable, timely and complete information and must keep it current and up-to-date at all times. In particular, Users must provide personal details and specific name (or corporate name), e-mail address and other information required for submission of online application as defined in detail in paragraph 5 of this Policy. By submitting their online application, Users declare and warrant that all the details/information and data submitted are true, valid and up to date. Users can only correct their applications, if it has not been definitively submitted. A final submission can be completed again, if necessary, online by emailing EKT at:
EKT reserves the right to amend the required registration information contained in the online application at its discretion. For more information about how the awards programme operates and what the rights and obligations of Users of the platform are, please see the Terms of Use.

Periodic maintenance of the website and the platform may have an adverse effect on its availability. Maintenance work will be, as far as possible, performed with the minimum of inconvenience to visitors and Users, and if such work is to be of considerable duration, Μembers will be given sufficient notice.

2. EKT as Data Controller

In its role as data controller, EKT, based in 48, Vassileos Constantinou Av., 11635 Athens, Greece, will process data collected on the website to achieve the goals of the awards programme.

3. Scope of this Privacy, Data Protection and Cookies Policy

This Privacy, Data Protection and Cookies Policy covers the information EKT collects or receives through all website, application, email address, platform, or tool, regardless of how they are accessed or used, including mobile devices.

Your privacy is important to EKT and steps have been taken to ensure that we do not collect more information from you than is necessary to proceed with the awards programme in the best possible way. EKT appreciates your trust in the awards programme, acknowledging the need to use carefully and sensibly the information that you provide when submitting your online application.

The information, including name, address, telephone number and email address, will be collected upon registration of a User on the website.

4. Data Collection

EKT can collect personal information (defined as personal data) from you and / or any device (including mobile phones), such as your name, username, email address, your phone number. For example, information given when:

• using the website,

• registering on the platfrom to submit online application,

• updating or adding information of your personal data, or

• contacting EKT in any other way.

Provision of this information is optional but if you choose not to provide it, you will not be able to complete the registration process and successfully submit your online application and/or contact EKT in any other way.

EKT can also collect other information automatically by using cookies and similar technologies, which may include:

• browser information including browser type. • device information, including screen size and type, device brand and model. • time spent on the platform, clicks on the website and other anonymous browsing data. • other aggregated information.

5. Mandatory Fields for the awards programme online application

Α. 'Bridges Awards for Business Partnerships' Form

Candidates for the 'Bridges Awards for Business Partnerships' must complete the following mandatory fields of the application:

Title, sector and form of co-operation, specifically whether the partnership has a co-operation agreement, if it is a business association or other form, if the co-operation is between natural persons or legal entities or natural & legal persons, the place / places of production of the collaborative product or service and particularly whether is based solely in Greece or in Greece and abroad, the year business / co-operation was established, personal data of the contact person, that is, full name, email address, contact number and personal details of the legal representative of the business co-operation, that is, full name, e-mail address and contact telephone number.

Additionally, they must complete the required fields with personal information of the members involved in the business co-operation particularly for natural persons: full name, email address, contact number, place of residence, city, country, if living abroad for at least one (1) continuous year, educational qualifications, if a higher education graduate, connection with Greece and particularly if a Greek national or a foreign citizen of Greek origin or foreign citizen with at least three (3) years prior lawful residence in Greece, employment status (Managing Director, Partner, Key shareholder, self-employed, employees, participation in doctoral or post-doctoral programme, participation in another research project), if employed abroad for at least one (1) continuous year, if a member is registered on https://www.knowledgebridges.gr/el, the attachment of a CV by the representative.

For personal information of legal entities you are requested to complete the following required fields: the business name, the main economic activity of the enterprise (ΚΑΔ for Greece), business website, city, country, details of business representative (legal representative, international advisor, partner or shareholder) specifically, full name, email address, contact number, place of residence, city, country, if living abroad for at least one (1) continuous year, educational qualifications, if a higher education graduate, connection with Greece and particularly if a Greek national or a foreign citizen of Greek origin or foreign citizen with at least three (3) years prior lawful residence in Greece, employment status (Managing Director, Partner, Key shareholder, self-employed, employees, participation in doctoral or post-doctoral programme, participation in another research project), if employed abroad for at least one (1) continuous year, if a member is registered on https://www.knowledgebridges.gr/el, the attachment of a CV by the representative.

Candidates are required to fill in the open fields for their proposal to be duly submitted, namely: Summary of business partnership, a brief description of the idea, object of co-operation, objectives and vision of the business partnership, description of whether the product/service innovation includes eg. organisational, branding, marketing, business models, production process or integrates high technology or know-how or anything new that gives it a competitive advantage. Reference to the creation of the partnership and description of the profile and the contribution of each member to achieving its objectives, a description of the impact on the local economy and society which will / has developed a product or service, and any contribution to the interconnection of Greeks and / or addressing aspects of the brain drain. Reference to any ongoing or planned synergies and reference data indicating the level of maturity of co-operation and description of the activity plan for the next 18 months, human resources and means of implementation.

Β. Bridges Awards for Scientific Networks Form

Candidates for the 'Bridges Awards for Scientific Networks' must complete the following mandatory fields with the network details: network / collaborative proposal title, scientific network activity field, contact person of the collaboration, specifically full name, email address, contact number; details of the legal representative; that is, full name, email address and contact phone number.

It is mandatory to include personal information for each of at least 15 members, that is, full name, occupation, nationality, country and duration of residence, educational qualifications, their contact information and an attached CV.

Additionally, it is necessary to complete the required fields describing the proposal, namely: the summary of the award proposal Idea: brief description of the idea and object of co-operation, objectives, vision and mission, Achievements: detailed description of the activity field and the results obtained or anticipated from co-operation, Team & Organisation: profiles of the members of the network, their roles, and contributions to the development of the co-operation. Description of the organisation and operation of the team of scientists at partner networks or single network level, Impact & Synergies: description of the contribution of co-operation to addressing social or scientific issues, including the promotion of relations between expatriate Greeks and those living in Greece as well as aspects of the brain drain phenomenon.

Reference to any synergies between existing networks of Greek and/or prestigious foreign scientific networks, Sustainability: Description of activity plan for the next 12 months, human resources and means of implementation, and the prospect of extending co-operation (eg. geographical and /or number of members and / or field of activity) and how to achieve it.

6. Purpose of Data Collection

Online applications are submitted exclusively through the awards website awards.knowledgebridges.gr and in accordance with the specific instructions provided by the system. The collection of information included in the online applications serves the purpose of the three evaluation stages of the awards programme and is made available to the Special Evaluation Committee. Applications are evaluated on the basis of the data submitted in the online application, taking into account all the application fields and CVs of members and any other supporting documentation. The members of the Evaluation Committee are bound by confidentiality and personal data protection clauses.

EKT uses your personal data in order to better serve the awards programme, to communicate with you, to fulfil its legal obligations towards you and to provide you with a personalised experience on the awards website.

EKT can also use your data to process your registration as a User and to manage any aspect of your application regarding the awards. Where appropriate, EKT uses your data to provide you with user care services and to respond effectively to questions, comments and / or your other requirements.

Moreover, your personal data is used to send you information and data that is believed to be of interest to you, including updates.

The aforementioned processing of your data is always necessary or appropriate, while meeting one of the following legal basis for processing personal data: (a) necessary or appropriate under applicable law; (b) to comply with legal process and our legal obligations; (c) to respond to requests or requirements from public, law and government authorities (including national security and law enforcement requirements) and private parties; (d) to enforce our terms and conditions (T&Cs); (e) to protect our operations; (f) to protect our rights, privacy, safety or property, and/or that of you or others; (g) to allow us to pursue available remedies or limit the damages that we may sustain; (h) to prevent or stop activity we may consider to be, or to pose a risk of being, illegal, unethical or legally actionable activity and (i) based on the explicit consent of the data subject.

7. Cookies

The new General Regulations of the European Union (EU 2016/679) on data protection stipulates that EKT can store cookies on your device only if it is strictly necessary for the operation of this website. For all the other types of cookies, your permission is required.

8. Opt-Out

If you do not wish to receive emails from EKT, contact the organization at any time by e-mail at: awards@knowledgebridges.gr, requesting the deletion of your email address from its e-mailing list.

If you do not wish to receive emails for informational purposes, follow the unsubscribe instructions located in each e-mail you receive.

Please note that, in all cases, it is likely even when unsubscribing from EKT’s e-mailing list that you will continue to receive emails of non-commercial purpose, such as confirmations from EKT on any online application submission to the awards programme.

9. Information sharing and disclosure of Personal Data

Your personal details (such as name, telephone number and email address) collected through the website awards.knowledgebridges.gr can only be shared if it is necessary or appropriate:

(α) under applicable law, (b) to comply with parts of the legal process and / or the legal or contractual obligations, (c) in the event of a request or demand from a public, national and / or government authority (including national security and law enforcement requirements) or and / or private, (d) to enforce EKT’s Terms of Use, (e) to protect EKT activities, (f) to protect privacy, safety and / or property rights, EKT and / or visitors / users and/or third parties, (g) to use available remedies or limit potential damage, (h) to prevent and/or terminate activity that may be considered illegal, immoral or dangerous and finally (i) on the basis of consent of the personal data subject.

10. Retention of Data

EKT will keep your personal information for the period necessary to fulfil the purposes outlined in this Privacy, Data Protection and Cookies Policy unless a longer retention period is required or permitted by law or an individual requests deletion in accordance with applicable law.

11. Third Parties

This Privacy, Data Protection and Cookies Policy does not cover EKT, which is in no way responsible for the confidentiality, data or other privacy practices of any third parties (except as required by applicable law), including any third parties operating any site or service to which may refer you in the website. Reference or the inclusion of a hyperlink in the website does not imply in any way acceptance or endorsement of the content of this linked website or this Service by EKT. Each third party is bound by its own Privacy Policies and Privacy.

12. Security

The information collected by EKT is stored using processes and security practices reasonably designed to help protect against accidental or unlawful destruction, loss, alteration, unauthorised disclosure of or access to personal information transmitted, stored or subjected to any other processing.

13. Use of the website by minors

If you are under 18 years old, you must notify your parents or guardians about this Privacy, Data Protection and Cookies Policy before you submit your personal information to the website.

14. Legal basis for Data Processing

EKT processes personal data only for the purposes set out in this Privacy, Data Protection and Cookies Policy as described above. EKT’s legal basis for processing personal data will depend upon the said data and the context of their collection. However, in general EKT will collect and process your personal data only when it is: necessary for the execution of any contract between the User and EKT (for example, participation in the awards programme and to identify and / or verify your identity so you can use the website and the platform); necessary for compliance with the requirements of the law, necessary for the purposes of EKT’s legal interests without infringing your rights, and / or where there is a legal basis for your consent.

Collection and processing of your personal data in reliance with the legitimate interest of the awards programme, will enable: the best possible operation of the website, the more effective organization of the awards programme, and/or management of your relationship and communication with EKT. Should there be any other reasons for their collection and processing, you will be clearly and promptly informed at the relevant time.

If EKT requests you to provide your personal data in order to comply with a legal requirement and / or to enter into a contract, it will make it clear at the relevant time and will inform you of the necessity or otherwise of providing your personal data (as well as the possible consequences if you do not grant access to your personal data). In some cases, the registration of your personal data to be processed as described above is required, before the submission of an online application to the awards programme in order to effectively use all the functions of the website.

EKT retains your personal data as long as there is an ongoing legitimate business, for example: to achieve the objectives of the awards programme, namely the most efficient organization of the awards programme or as required or permitted by applicable laws. When there is no ongoing legitimate business need to process your Personal Data, EKT will proceed directly to the deletion or anonymization or if it is not possible (for example, because your personal data are saved in backup archives), then the data will be stored securely and be isolated from any further processing until permanent deletion is enabled.

15. Your Rights

• The right, in certain cases, to request EKT restrict the processing of your personal data or to request portability of your personal data.

You can exercise this right by clicking on the ‘unsubscribe’ or ‘opt-out’ link included in the informational email sent by EKT. EKT treats all requests received from individuals who wish to exercise their rights with regards to the protection of their personal data in accordance with applicable data protection laws.

If there are changes or inaccuracies in your personal information, you must notify EKT promptly of such changes at awards.knowledgebridges.gr so EKT records can be updated and/or corrected.

16. Amendments to this Privacy, Data Protection and Cookies Policy

ΔEKT reserves the right to make amendments to this Privacy, Data Protection and Cookies Policy when deemed necessary. Please refer to the date at the top of the first page to see when this Privacy, Data Protection and Cookies Policy was last revised. Where required by law, your consent will be obtained in order to make these changes. Any amendments to this Privacy, Data Protection and Cookies Policy will be communicated by EKT by posting an amended version of the Privacy, Data Protection and Cookies Policy on the awards website. Once posted on the website, the new Privacy, Data Protection and Cookies Policy will be effective immediately.
